Who We Are
Ask Charlotte (“Charlotte,” “we,” “us”) is an AI executive assistant service operated by Rounders to Founders Inc., a Delaware C Corporation. Our website is askcharlotte.ai.
What Data We Collect
When you create an account and use Charlotte, we collect the following data depending on which features you use:
Account Information
Your name and email address (provided during signup). If you sign in with Google, we also receive your profile picture via Google OAuth.
Google Workspace Data (Optional)
If you choose to connect your Google account, Charlotte accesses:
- Google Calendar: Event titles, times, attendees, and descriptions — so Charlotte can manage your schedule.
- Gmail: Email metadata (sender, subject, date) and message content when needed for drafting replies or triaging. We do not store full email bodies long-term — only sender patterns and subject lines for relationship tracking.
- Google Contacts: Names, emails, phone numbers, and organizations — so Charlotte can track your relationships.
- Google Tasks: Task titles, due dates, and completion status.
- Google Drive: File names and metadata (not file contents) — so Charlotte knows what documents you have.
Connecting Google is not required. Charlotte's core features — Telegram, iMessage, relationship intelligence, task tracking, and DreamWeaver — work without it. Google integration enhances Charlotte with calendar-aware briefs, email follow-ups, and contact sync.
Conversations
Messages you exchange with Charlotte via the web dashboard, Telegram, or iMessage, so she can maintain context across sessions.
Usage Data
Basic analytics like page views and feature usage to improve the product.
How We Use Your Data
- To provide the service: Charlotte uses your data to manage your calendar, triage email, track relationships, and assist with tasks.
- AI processing: Your data is sent to AI language models (currently Anthropic Claude) to generate Charlotte's responses. These AI providers process data per their own privacy policies and do not train on your data.
- We do NOT use your data to train AI models. Your conversations, contacts, and emails are never used as training data for any AI system.
- To improve Charlotte: Aggregated, anonymized usage patterns help us build better features. We never sell individual user data.
Data Storage & Security
- Per-user isolation: Each user's data is stored in a separate, isolated database. Charlotte instances cannot access other users' data.
- Encryption in transit: All connections use HTTPS/TLS encryption.
- OAuth tokens: Google access tokens are stored encrypted and refreshed automatically. We store refresh tokens to maintain your connection without requiring re-authentication.
- Infrastructure: Data is stored on secured servers in the United States.
Third-Party Services
We use the following third-party services:
- Google APIs: To access your Google Workspace data (Calendar, Gmail, Contacts, Drive, Tasks) — only if you choose to connect.
- Anthropic (Claude): AI language model that powers Charlotte's intelligence. Data sent to Anthropic is processed per their privacy policy.
- Stripe: Payment processing. We never see or store your full credit card number.
- Cloudflare: CDN and DDoS protection.
- Telegram: Optional messaging channel (if you choose to connect).
- LoopMessage: iMessage/SMS/WhatsApp bridge for messaging Charlotte via phone number.
We do not sell, rent, or share your personal data with advertisers or data brokers.
Google API Disclosure
Ask Charlotte's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Your Rights
- Access: You can ask Charlotte what data she has about you at any time.
- Deletion: You can request complete deletion of your account and all associated data. Email [email protected].
- Revoke access: You can revoke Google access at any time via your Google Account permissions.
- Export: You can request an export of your data in a standard format.
- Disconnect Telegram: You can stop using Telegram at any time without affecting your web dashboard access.
- Disconnect iMessage: You can stop using iMessage at any time without affecting other channels.
Data Retention
We retain your data for as long as your account is active. If you cancel your subscription, your data is retained for 30 days (in case you resubscribe), then permanently deleted. You can request immediate deletion at any time.
Children
Ask Charlotte is not intended for users under 18. We do not knowingly collect data from minors.
Changes
We may update this policy as Charlotte evolves. Material changes will be communicated via email or in-app notification.
